Inventory

A comprehensive module to define your items and bill of materials, to select best vendors, to work out cost details and to identify sets and substitution. You can set optimal inventory levels, automate replenishments, view the image of the style etc.

• Purchasing and Receiving

Ocean ERP automates the process of issuing and managing purchase orders and receiving items tracked by purchase orders. You can auto-receive items, update vendor and item records automatically and mange purchases for multiple sites on a single purchase order.
Ocean ERP's purchasing module features one, two or three way matching. In. three way matching, the purchase order, invoice and receiving document for a given order must match (exactly, or within a user-defined tolerance). Ocean ERP automatically identifies invoices and receiving documents, which don't match the purchase order, so they can be checked for accuracy.
Ocean ERP makes ordering easier by automatically determining which vendor is offering the best price for any given product and quantity, even when complex price break levels and volume discounts are involved. Should you approve Ocean ERP's choice, the purchase order will be generated automatically.

• Costing

To ensure maximum accuracy, product-costing calculations include numerous factors such as volume discounts, waste percentage, agent fees, overhead allocation, commission, royalty, currency exchange rates, etc. Ocean ERP allows you to analyze cost differences thus, helping you with make-or-buy decisions.

• Bill of Materials

The recursive bill of material allows you to define raw materials, semi assembled and fully assembled components. The graphical representation of the components helps you visualize the assembly. Changes made to the components will automatically reflect on the finished goods� cost. The labor processes are categorized for easier cost management. You may select form a list of contractors to find the one that fits the particular process best.

• SKU and UPC

Ocean ERP's multi-dimensionally inventory gives greater flexibility for those industries where items are sold separately by color, size, weight etc. Where added accuracy is needed, you can track inventory by serial numbers. Stock keeping units (SKU) and universal product codes (UPC) can be created manually or automatically while respecting the inventory depth you require. Ocean ERP's inventory is always real-time, even with e-commerce integration, so you can base your decision on the most up to date information.

• UOM

Ocean ERP's inventory control module easily suits any business. Units of measure (UOM) are unlimited and completely user defined. From widgets to miles to ounces, abstract units of measurement allow you to purchase, invoice and receive any type of product no matter how it is packaged.

• Substitution / Alias

Ocean ERP has two concepts for selling similar or identical items. When two items are identical but are sold under different names, Ocean ERP can identify them as aliases. Instead of having to create multiple items and carry inventory records for them, only the original item is kept on inventory while the others appear only sales documents and references. Furthermore, Ocean ERP handles substitute item. When there is not enough on-hand inventory for a particular item, Ocean ERP can identify substitutes that are a close match for that item.

Warehousing

Ocean ERP's sophisticated warehouse module is capable of identifying in-bond and out-of-bond warehouses, complying with customs agency documentation requirements. Radio frequency hand-held scanners make physical counts a breeze. There's no need to shut down the whole warehouse for the count, sales and purchase activities can continue uninterrupted. Bin location replenishment is automated based on sales performance and maximum / minimum levels.

Order Processing

Ocean ERP's order processing module gives you the tools and information you need to accomplish on-time delivery, accurate purchasing and instant customer satisfaction. The full-featured module handles multi-dimensional order entry with distribution to warehouses or multiple ship-to destinations. The system even verifies the client's credit limit several times throughout the distribution process and notifies the responsible person.

• EDI

Thanks to the EDI (electronic data interchange) feature, ordering and invoicing is immediate and automatic for your registered partners. Customer code and item number matrices are readily defined to minimize the need for user interaction. Drop ship and other rule-based chargers are seamlessly integrated all the way to G/L posting.

• Estimated delivery date

Ocean ERP helps you increase accuracy by estimating shipment delivery dates depending on multiple factors. First, it looks at inventory availability of the ordered item then it searches for aliases, then for substitutes and finally evaluates raw material and production capacity. Based on this information Ocean ERP proposes the quickest delivery date possible.

• Buying Programs

Ocean ERP keeps a close eye on different types of buying programs and bulk orders. The system monitors the overall and detailed performance of all the participating customers and items so you can maximize your current sales potential and improve forecasts.

• Sales Order Generation

Point of sale data and eCommerce transactions are instantaneously synchronized with the order entry module. These orders are flagged for special analysis and approval to be done by an authorized user. Finally all of these transactions will be processed with the rest of the orders.

• Purchase Automation

Every time a new order is entered Ocean ERP identifies the raw material and finished goods needed. This translates into an aggregate material requirement, which serves as a base for purchase decisions. The actual purchase orders can be automatically created and are linked to the sales orders.

Picking and Packing

• Packing

Ocean ERP features a complete picking and packing module that increases packing accuracy and reduces handling time to allow you to get the shipments out on time with all required documentation. The module tracks box dimensions and weights to obtain the best shipping rate. Furthermore, the module performs a last minute credit check to decide whether to hold or release the shipment.

• Labels

Ocean ERP prints an exhaustive list of labels on a variety of printers. From UPC through MH10 to customized labels the system has it all covered. Ocean ERP is equipped to use a multitude of barcode symbologies thus meets all your customers' requirements.

• Picking Routes

Ocean ERP accommodates different picking routes within the same warehouse and determines the fastest picking order depending on the type of picking equipment used. For example the system might propose a different route for picking on foot, by forklift, by cart, by ladder etc.

RMA

With the built-in Return Merchandise Authorization function you can organize, classify and manage returns. The RMA is connected to quality control where statistical analysis can be made about the returns. Classification includes disposition, inspection, blame and problem categories with choice selection for quick entry.

Quality Control

In-house or contractor manufactured items are the subject of Ocean ERP�s quality control module. During the quality control inspection several product attributes can be measured and qualified. Inspection details such as sample size, disposition, defect type, status etc. are recorded to form the bases for quality improvements. For further examination, the quality control data can be sent to an external statistical analysis application on demand.

Import / Export / Customs

Ocean ERP complies with the documentation requirements of the federal government�s duty relief program. If you are not eligible to this program, than you can take advantage of the system's automatic duty drawback calculations. The strong link between purchase orders and export documents enables Ocean ERP to keep track of the duty balance at all times hence, the drawback claim can be printed and submitted at any time.

Supplier Integration

Ocean ERP empowers you to leverage the full potential of your supply chain. The electronic link to your supply chain includes purchase orders, quality control and production progress inquiries. The advance shipment notices fully integrate with receiving and accounts payable. All the suppler is required to have is an Internet connection and a web browser. The module is complete with automatic real-time email notification of critical activities that improves your supply chain's productivity.

Process Management

The Virtual Coordinator Module (VCM) is an innovative solution that manages critical business processes. VCM makes sure that significant events and tasks are carried out on time. The module constantly monitors the progress of certain events and raises an alert or sends email to whom it may concern about matters of significance. VCM can monitor any number of business processes and manage enterprise-wide or personal reminders. VCM can notify you about critical accounting ratios, credit limit warnings, low-stock situations, etc. Furthermore, the module is able to handle escalation rules. If after being notified, the responsible individual does not take the necessary steps within a predefined time frame, VCM can alert another person (i.e.: a supervisor) about the lack of action.

Executive Dashboard

The Key Performance Indicators are available real-time on Ocean ERP's executive dashboard. You can get the overall picture of the performance of your organization at a glance. This module is configurable to show, with graphical chart illustration, the indicators that interest you the most. A full page is dedicated for each segment of your operations. Naturally, fully detailed information is available for each indicator by drilling down to the source documents. The complete invoice, credit note, RMA and receivable status are organized on one neat page. Other pages display purchase statuses, bank account balances, inventory values, contractors� performance etc. You can even go back in time and look at past results for every single day.

Accounting

Ocean ERP is a complete, enterprise-wide, General Ledger accounting system, with tightly integrated modules for A/P and A/R. Ocean ERP's intuitive Windows TM graphical user interface (GUI) makes all features easily accessible with just a few clicks of the mouse. Navigating through Ocean ERP and locating the information you need couldn't be easier. From any field, anywhere in the system, the user can drill down through the various levels of supporting information. Whenever possible, fields and list boxes have search capabilities to make finding information easier. You can even find things just by knowing what they sound like.

• Balanced Posting

General Journal transactions can be standard, recurring, auto-reversing, clearing and 'quick-journal' entries � and all transactions are balanced before posting to the General Ledger. Ocean ERP even allows for unbalanced transaction to be saved without posting so that you may create a partially complete entry and balance it later. Ocean ERO features on line balancing of Purchase Journal, Disbursement Journal, and General Journal. If you don't know how to balance an entry, Ocean ERP will make a suggestion.

• Account Payable

Accounts Payable is traditionally one of the most labor-intensive parts of any accounting system. Ocean ERP's A/P module however, is conceived with better automation and controls that any other system in the market. Ocean ERP enables 1,2 or 3 way matching of the supplier invoice; generate receiving and confirming purchase orders; features fuzzy-logic alpha searches; is capable of handling multiple currencies; and gives you instant drill-down integration to the General Ledger.

Ocean ERP integration all bank transactions and automates the reconciliation process. Its efficient, flexible reconciliation process allows you to enter book-to-bank adjustments, receipts, check, withdrawals and increase / decrease adjustments directly during bank reconciliation.

Manufacturing

Real-time production control Ocean ERP's real-time production control module collects and reacts to shop floor information during production. The module constantly keeps track of who is doing what, where and when. This data is captured using factory terminals, located near each operator on the factory floor. While the data is being captured and reacted to, the system produces up to the minute reports about production that can be acted upon, to increase productivity and reduce costs. The module covers all shop floor activities from work in process issuance to finished goods registration. In addition, the system automatically produces gross payroll information and meaningful historical information about production.
